= Renting vs shipping =

We have been debating of renting a lot of stuff directly in Cape Town versus shipping most part of it from IRILL. We have a total budget of 4400 €.

Both solutions have their pros and cons:

 * We have to ship some stuff from IRILL anyway, so why not ship everything we need?
 * We have to rent some stuff in Cape Town anyway, so why not rent everything we need?

After some though, we will surely have to go with a mix of the two. The problem therefore lies in deciding what to ship and what to rent.

Jonathan Carter got us these items fro rental for around 2600 €:

 * 6 x Shure SM58 Cordless Microphone
 * 6 x Shure SM58 Headset  Kit
 * 6 x Shure KSM137 Overhead Microphone + Microphone
 * According microphone stands 
 * 3 x 8 Channel Mixer

We know we do not have enough microphones anyway, so renting them all might actually be a good idea to have some uniformity. We are also missing a mixer. Then again, going with rental might be the best solution since mixers weight quite a lot.

This would leave us around 2000 € for shipping and buying the other items we need.

UPS estimates shipping EVERYTHING we have from IRILL to Cape Town and back to around 1800 € (including 20% VAT). We can safely estimate we won't need more than half of what's in IRILL, both in terms of weight and of number of boxes. This means 900 € would be a safe number for shipping from IRILL.

This leaves us with a margin of about 900 € to buy or rent some other stuff if we need, i.e. renting our famous voctomix cameras.

== Things we will need to ship from IRILL ==

There is stuff in IRILL that we will need to ship to Cape Town. Here is the list:

 * 2 x DV cameras and the 2 camcorders (Box #14)
 * 4 x HP laptops
 * a bunch of firewire cables
 * the firewire capture expresscards (needed) For borrowed PCs
 * 2 x large tripods
 * 2 x small tripods (need to check if they are OK)
 * 2 x 5 ports switches
 * shuko multiplugs (at least 6)
 * 3x male-male XLR barrel connector
 * 3x talk meister flash cards
 * 6x tally lights (+ necessary USB extension cables)
 * 1x presenter remote + laser pointer

== Things we will need to rent ==

We will also need to rent some stuff in Cape Town:

 * A bunch of XLR cables
 * 3 pairs of closed headphones
 * 2 Panasonic AG-AC160 camera (or something equivalent)
 * 2 tripods
 * 6 x Cordless Microphone Kit
 * 6 x Headset Microphone Kit
 * 6 x Overhead Microphone
 * 6 x Corded Microphones
 * According microphone stands 
 * 3 x 8 Channel Mixer

We got 3 different quotes:

=== Solid Events ===

We get all the audio equipment we need and two Sony HVR-Z5 HDV Camcorder for R80 438 (4 600 €). We get the stuff for 8 days but are billed for 6 days.

This is pretty expensive (100% of our current budget) and we get the cameras only on June 1st, meaning we won't have to test voctomix thoroughly. However we do have one of the cameras for a day before June 1st (which day is up to us). We have the audio material for Debcamp.

=== Sound Works ===

This quote is audio only (no cameras). It does fill our audio needs though and we have the audio material for Debcamp too. We are billed for 7 days and the price is R35 700 (2 000 €).

=== Aggressive audio ===

This quote fills our audio need and proposes Sony PD150 cameras. We are billed for 8 days. Price for audio is R42 720 and cameras are R13 600 for a total of R56 320 (3 200 €).

This is the best price yet and (**this needs to be confirmed**), but it seems we would get the cameras for Debcamp too.
